Payroll and HR administration

Payroll is an area where a mistake shows up immediately – either in an employee's pay or in a fine from an insurance agency. We process it for you, including all notifications and deadlines. Even when someone else does your bookkeeping.

What we process every month

You send us attendance records, we send out payslips, payment orders and reports. You do not have to deal with anything in between.

We also handle payroll on its own. You do not have to give us the whole bookkeeping. If someone else does that and you only need payroll sorted out, that is a perfectly normal arrangement – the price is per employee per month, and you will find it in the price list.

This is where fines come from. Deadlines are short and cannot be made up for retroactively.

Get in touch with us before the start date

The registration with the Social Insurance Agency must be filed before the employee starts working – not on the same day, and certainly not afterwards. Just send us the name, start date and type of employment.

We register them with the insurance agencies

We file the registration with the Social Insurance Agency and with their health insurance company, and set up their payroll record. You do not need any access or mailbox for this.

We report changes throughout the year on an ongoing basis

A change in salary, starting maternity leave, a wage garnishment, an interruption of insurance – each of these has its own reporting deadline. When you tell us about a change, we report it on time.

When someone leaves, we issue what is needed

We deregister the employee from the insurance agencies, calculate the final salary including any unused paid leave, and issue the certificate of employment and the income confirmation they will need for their next employer.

Employment, agreement or invoice

A question that comes up with almost every new person. The answer is not about what is cheaper, but about what matches reality – an inspection looks at the actual content of the work, not the name of the contract.

Watch out for disguised employment. When someone works like an employee but invoices as a sole trader, an inspection can reclassify it – even retroactively. Better to ask in advance; we will advise you on which form holds up in your situation.

Every month, by the agreed date

We agree on a deadline based on your payday so that you can pay both wages and contributions on time. The day before, we will remind you if the documents still have not arrived – we would rather send an unnecessary reminder than have the payroll run late.

Frequently asked questions about payroll

I have one employee. Is not that too little for you?

It is not. The price is per employee per month, so for one person you pay for one – no minimum flat fee, no set-up charge. In fact, doing payroll in-house pays off least when you have just one employee: the deadlines and reports are the same as for ten.

Will anyone at the company see who earns how much?

Only whoever you allow to. We send payslips directly to employees, and only the person you designate receives the overview for the whole company. We consider payroll data the most sensitive part of the agenda and handle it accordingly.

Do you also do the annual tax reconciliation for employees?

Yes. After the year ends, we prepare the annual tax reconciliation for employees who request it, and issue them a confirmation that it was carried out. It is charged as a one-off task per employee – not monthly.

An employee is going on maternity leave. What should I do?

Let us know the start date of maternity leave as soon as you know it. We will report the interruption of insurance to the Social Insurance Agency, adjust the payroll records, and keep track of when the employee returns so that her insurance is reinstated on time.

I forgot to report an employee's start date and they are already working. Can it still be fixed?

Get in touch with us right away, not at the end of the month. We will file the registration immediately and prepare an explanation for the late filing. A penalty is possible, but far smaller than if an inspection discovers it on its own – and the sooner it is filed, the better.
